How this business actually runs

The margin is coordination. An order enters by email, EDI, portal, or phone, and from there it crosses carriers, terminals, customs brokers, warehouses, and drivers: organizations the business does not control. Every handoff is a promise with a clock on it, and the cost of failure has names: demurrage, missed cutoffs, a container that exists in one system and not in the other.

The systems and the data

WMS, TMS, EDI connections, customs filings, accounting, and the spreadsheets bridging all of them. The data that matters (shipment status, inventory positions, customs documents, rates) lives in several systems at once, so people become the integration: retyping, exporting, reconciling. And the most fragile asset is often one person, the only one who knows how the EDI actually works.

What most operators think they need, and what comes first

Most arrive asking for a bigger TMS, or more people to keep up with the retyping. What usually comes first is cheaper: decide which system owns each piece of data, connect the tools the business already pays for, and review who (including partners and former employees) can still reach the operation.

Obligations and local texture

  • Florida's data protection statute requires notifying affected residents within 30 days of determining a breach.
  • In the United States, CTPAT's minimum security criteria include cybersecurity for certified businesses: certification and security posture are no longer separate conversations.
  • In Trinidad & Tobago, the Data Protection Act is partially proclaimed: its general privacy principles are in force, and operating as if the rest were coming is the defensible position.
  • The October 2023 ransomware incident at TSTT made exposure in Trinidad & Tobago concrete. Recovery depends on preparation that exists before the incident.
  • Customs in Trinidad & Tobago run through ASYCUDA, and connectivity is a real constraint: resilience is designed for the infrastructure that exists, not the one in vendor diagrams.
  • If cards are taken anywhere in the operation, in either market, PCI DSS follows that data wherever it flows.

Questions owners ask

Usually not first. Most of the pain we see comes from the gaps between systems, not from the systems themselves. Integration and data ownership get decided before any replacement conversation.
